On-boarding With Embryo

As an Operations Manager for Embryo, Search Marketing Agency, It is really important to make sure that our clients experience a streamlined on-boarding process so that the transition from the sales team to our incredibly talented delivery team (PPC, Social, Web, SEO and Content) is as smooth as possible with all information from previous discussions being handed over correctly. This blog gives you a taster of what you can expect from day one as a client of ours. 

So, by this point you have already been acquainted with a member of our sales team or Directors, and have decided you would like to progress further with the digital marketing strategy we have so carefully developed for your business. From your perspective as a new client, this is the first impression you will receive from our team and organisation as a whole. So, rest assured we like to make this initial stage of the partnership as clear and detailed as possible with plenty of communication. 

 

Step 1- A warm welcome from operations

 

Initially, you will be greeted with a ‘Welcome to Embryo’ email from myself, informing you of a separate email you will have received from our ‘signable’ platform containing your order form with us breaking down which digital marketing campaigns we will be working on, including start dates and any other key information. However, being the over organised control freak that I am, I have also broken these details down in the welcome email for you, including any accounts details to give you the opportunity to ask any questions and to make sure everything is completely clear in writing for both of us. I will then end the email pre-empting that once the on-boarding is complete, the next step is to organise the access we will need in order to run your campaigns successfully. Some of this access may include the following:

SEO, PPC and / or Social Marketing Platforms:

  • Google Analytics
  • Google My Business
  • Google Search Console
  • Google Tag Manager
  • Social Media Accounts
  • Google Adwords
  • CMS logins (usually wordpress)

 

If you’re already reading this and thinking ‘this is a complete other language to me and I would have no idea where to even start gathering this information’ please do not fear, we have put together a little ‘let’s get started’ guide giving you step by step instructions on how to locate this information (taster snapshot below). If you don’t have any of the platforms already set up, no problem, we set them up for you!

Step 2- Let’s get the ball rolling with a kick off meeting!

 

We’re now at a point where the on-boarding information has been completed and we successfully have all of the access that we need. What’s next I hear you say? Our team internally will have a kick off meeting to go through your company website and plan for your campaigns. Next, we will have a kick off meeting or call with yourself and anyone at your end you think should be included on the call to discuss your goals for the campaigns and any other information that you think is important for us to know. Here are some of the questions you can expect our team to ask you:

 

  • Who are you ideally targeting?
  • Which locations are you targeting?
  • What is your ideal tone of voice?
  • What are the main products/services to promote?
  • Who are your main competitors?
  • How you work – e.g. the process from a customer signing up/showing interest through to service/product provision and beyond?
  • What makes your process different/better than your competitors?
  • What does your service always comprise?
  • Details on the level of support you provide your clients with.
  • What skills/qualifications does your team have that you feel would impress your target audience?
  • What USP’s would you like to include – for example – offering a bespoke service and 5* reviews.
  • What issues do clients usually face / why might a client switch to you?
  • What makes you different to your competitors?

 

Step 3- Get ready for us to be at the top of your inbox.. a lot of the time

 

Now that we have all of the useful information about your business and customer journey, we then follow up with an email detailing a plan for the month ahead confirming any relevant dates with you, when you can expect your campaigns to go live / receive any audits we will complete for you. This setup phase of the campaign is a really exciting time for both parties, as it gives us the opportunity to understand your business and your company goals. Step 4- The first month of your campaign

 

Throughout the first month of your marketing campaigns, we encourage as much communication as possible whilst we monitor and check the results throughout. More often than not, the first month will be gathering a lot of important data from the campaigns which is extremely useful for us when it comes to optimising in month two. At the end of the first month, your campaign consultant will then produce a detailed report covering all aspects of your campaign such as:

  • Number of leads generated
  • Return on ad spend (if applicable)
  • Google Analytics customer behaviour on your website
  • Landing page views
  • Call to action clicks
  • Ending on a strategy that we will put in place for the following month ahead.

 

We like to provide you with a couple of days to digest this report and then follow up with a call to make sure you understand everything that has been covered and that you are happy with our strategy moving forward. This will also provide you with the opportunity to let us know of any slight change in direction / goals if they occur. Often, on your first report we will encourage feedback on how you received the information and whether you would like us to include other aspects within it. So please feel free to inform us of any feedback you have once we have taken you through this. Hereafter, we work our magic on your campaigns and consistently build upon the partnership to ensure we are striving to achieve the same goal together.
